Overview

While scheduling meetings directly within your CRM and using its video conferencing integration is often the recommended workflow (as described in Troubleshooting Incorrect Call Summaries), Fabius also supports a workflow based directly on Google Calendar (GCal) events, provided certain conditions are met. This method can be simpler for users who primarily manage their schedules within Google Calendar.

The Workflow: GCal + Zoom Button

This workflow relies on Fabius connecting your Google Calendar events with Zoom recordings and CRM data.
  1. Schedule in Google Calendar: Create your meeting event directly in Google Calendar as you normally would. Invite the client/prospect using their correct email address.
  2. Generate Unique Zoom Link: In the GCal event details, click the button provided by the Zoom for Google Workspace Add-on. This button usually says “Make it a Zoom meeting”.
    • This action generates a unique Zoom meeting link specifically for this calendar event.
    • Crucially, do NOT manually paste your Personal Meeting Room link or any other static/reused Zoom link into the calendar event’s location or description. You must use the integration button.
  3. Host the Meeting: Use the unique Zoom link generated in the GCal event to host the meeting.
  4. Fabius Connects the Dots (Behind the Scenes):
    • If your Google Calendar is integrated with Fabius, our system detects the new calendar event.
    • Fabius reads the attendee list (including the client’s email address) from the GCal event.
    • It uses the client’s email address to find the corresponding Contact and Account record in your integrated CRM (like Pipedrive, Salesforce, HubSpot).
    • Fabius identifies the unique Zoom link generated for the event.
    • After the meeting, Fabius retrieves the correct Zoom recording associated with that unique link.
    • The call is analyzed, linked to the correct CRM records, and the summary is generated.
This workflow requires your Google Calendar account to be authorized within Fabius. Your Fabius administrator can guide you on this setup if needed.

Key Requirements for This Method

  • GCal Integration with Fabius: Your Google Calendar must be connected to your Fabius account.
  • Zoom for Google Workspace Add-on: You need the official Zoom add-on installed in your Google Workspace to get the “Make it a Zoom meeting” button in GCal.
  • Use the Integration Button: You must click the “Make it a Zoom meeting” button in GCal for each event. Do not paste static links.
  • Correct Attendee Emails: The client/prospect must be invited to the GCal event using the email address associated with their record in your CRM. This is how Fabius links the call to the right CRM entity.
  • Correct Zoom Account: Ensure your Google Calendar is configured to use your licensed company Zoom account when generating links, not a personal free Zoom account.

Benefits

  • Simpler Scheduling: Allows users to continue scheduling directly within Google Calendar if that’s their preferred workflow.
  • Automatic Association: Fabius handles linking the GCal event, CRM record, and Zoom recording automatically based on attendee information and the unique link.

Which Method Should I Use?

  • CRM-First (Recommended for Sales/Coaching Workflows): If the meeting is directly tied to a specific Deal, Opportunity, or established coaching engagement tracked in your CRM, scheduling the meeting from the CRM record and generating the link there (as described in the Troubleshooting Incorrect Summaries article) is generally preferred. This creates the strongest link between the activity and the CRM context.
  • GCal-First (Good Alternative): If users primarily schedule in GCal, or for meetings not directly tied to a specific CRM Deal stage (e.g., initial exploratory calls before a Deal exists, internal meetings if you analyze those), the GCal + Zoom button method is a viable alternative, provided the requirements above are met.
Both methods achieve the goal of creating unique meeting links, which is essential for accurate Fabius analysis. Choose the workflow that best fits your team’s process.
