Meeting Bot User Setup

Follow these steps to let the Fabius meeting bot join your Google Meet calls, capture recordings, and keep your follow-ups on track.

What You Need Before You Start

  • Your workspace admin has already completed the meeting bot admin setup and enabled the feature for the company.
  • You host or attend meetings that include a Google Meet link.
  • You have permission to connect your Google account to Fabius.

Step 1: Connect Google Calendar

  1. Sign in to app.fabius.io.
  2. Go to Settings → Integrations.
  3. Find the Google Calendar card and click Connect Google Calendar.
  4. Approve the Google OAuth prompt so Fabius can read your calendar events and join your meetings.
  5. Confirm the card shows your Google account as connected. Need more detail? See the Google Calendar setup guide.

Step 2: Enable Meeting Recording

After your calendar is connected, enable the bot. Choose whichever route is easier:
  • Self-service toggle
    1. Stay on Settings → Integrations.
    2. Switch Have Fabius Record Your Meetings? to on inside the Google Calendar card.
  • Admin-managed toggle
    • Ask an admin to open Settings → Recordings and enable Record Meetings? next to your name. The toggle updates instantly for your account.
The bot will only join meetings for users who have this toggle enabled.

What Happens on Your Meetings

  1. About five minutes before the scheduled start, the bot checks your upcoming Google Meet events.
  2. If the meeting still has a Google Meet link and you have recording enabled, the bot joins with the display name your admin configured.
  3. The session is recorded through Fabius infrastructure. When it ends, transcripts, summaries, and action items appear in Fabius automatically.

Troubleshooting

  • My meeting wasn’t recorded
    • Make sure your Google Calendar connection is still active (the integration card should show your account).
    • Confirm the event used a Google Meet link and was on your primary calendar.
    • Verify the meeting wasn’t rescheduled within the final five minutes; the bot looks just before start time.
    • If the toggle flipped off accidentally, turn it back on or ask an admin to re-enable it.
  • The bot left partway through the meeting
    • Ask an admin to extend the Everyone Left or Inactivity timeout under Settings → Recordings.
  • I’m being asked to reconnect Google
    • Click Reauthenticate Google Calendar on the integration card and follow the prompt. The bot will resume once the connection is restored.
  • I don’t see the Recording toggle
    • Confirm your admin enabled the meeting bot for the company. If they have, try refreshing the page or signing out and back in; the card appears only after your calendar connection succeeds.
