HubSpot Setup

Connect your HubSpot portal to Fabius to analyze calls and meetings, generate transcripts and summaries, and optionally write notes, tasks, tickets, and field updates back to your CRM.

Overview

HubSpot integration provides:
  • Call & Meeting Analysis: Generate transcripts and insights from HubSpot-logged calls and meetings
  • AI Summaries & Actions: Create next steps and follow-ups tied to the right account, contact, or deal
  • CRM Write-Backs (Optional): Post notes, create tasks and support tickets, and update approved fields
  • Accurate Associations: Link activities to the correct company, deal, and contacts

Prerequisites

Before connecting HubSpot, ensure:
  • Installer role: The installer is a HubSpot Super Admin or has “App Marketplace Access”
  • Object permissions: The installer’s role covers the requested access (read/write as configured). If you prefer read‑only, we can disable write‑backs.
Not an admin? Ask a Super Admin to grant you App Marketplace Access under HubSpot → Settings → Users & Teams, or have them complete the connection. The installer’s object permissions must cover the requested access (e.g., deal write if you enable deal write‑backs).

Setup Process

Step 1: Confirm HubSpot Permissions

  1. In HubSpot, go to Settings → Users & Teams
  2. Select the user who will connect the app
  3. Under Permissions → Integrations, ensure App Marketplace Access is enabled
  4. Confirm the user’s object permissions (Companies, Contacts, Deals, Tickets) align with read/write preferences
If the installer lacks App Marketplace Access or required object permissions, HubSpot will block the install/consent step.

Step 2: Connect HubSpot in Fabius

  1. Log in to Fabius at app.fabius.io
  2. Navigate to Settings → Integrations → HubSpot
  3. Click Connect
  4. If you have multiple portals, select the correct HubSpot account
  5. Review and approve the requested permissions
We recommend using an admin or integrations account so the connection isn’t interrupted if the installer leaves your company.
If you’d prefer an admin to complete the connection but they don’t yet have Fabius access, reach out to your Fabius representative. We can add your admin as a user to your workspace (or schedule a guided setup) so they can finish the connection.

Step 3: Configure Read vs. Write

  • Read‑only mode: We only read CRM and engagement data; write‑backs are disabled
  • Write‑backs on: Enable notes, tasks, tickets, and field updates individually

What We Read

  • CRM: Companies, contacts, deals (names, stage, owners, and any fields you enable)
  • Engagements: Calls and meetings (recordings/transcripts when available)
  • Optional: Emails and notes if you enable them

What We Write (Optional)

  • Notes: Post meeting/call notes to contacts, companies, deals, or tickets
  • Tasks: Create follow‑ups with subject, due date, and status
  • Support tickets: Open tickets in your chosen pipeline/stage and associate to the right company
  • Field updates: Update only the specific properties your team authorizes

Troubleshooting

“You don’t have permission to install apps” “Permission denied” during consent
  • Your user likely lacks the required object permissions (e.g., deal write). Have an admin adjust your role or connect with an admin account
No recordings/transcripts found
  • Ensure calls or meetings in HubSpot include a recording URL or a conferencing link (e.g., Zoom) with transcripts enabled
Data not writing back
  • Confirm write‑backs are enabled in Fabius and your HubSpot role has edit permissions for the target object type

Next Steps

  • Configure which fields Fabius can edit and share property names with your Fabius contact
  • Provide your company email domains for internal/external participant identification
  • Decide your initial backfill window for historic analysis
